A certified copy is an official copy of a registered document, issued by the Sub-Registrar's office from its own records and stamped as a true copy. If you have lost the original sale deed, a certified copy is usually accepted as a substitute by banks, courts, buyers and government offices. In some situations it is actually required, such as when the original is held by a bank or the document is in dispute.
The route depends on the year of registration. Documents registered in recent years are generally available through the state's online system, while older ones may need a manual application at the office where they were registered, often with a written request, identity proof and a fee. You need the document number, the year, the names of the parties and the Sub-Registrar office. If you do not have these, the Encumbrance Certificate can usually supply them.
Lost documents also need careful handling. A police complaint or a newspaper notice may be needed if the original is lost, especially when a lender is asking for it. We apply for the certified copy, track it and deliver it to you. Keep in mind that a certified copy proves what was registered but does not prove title by itself. We can also read it with you and flag points that matter for a future sale or loan.
