A month ago, I had to move to Hyderabad for work and needed to get my car transported from Chennai. I initially thought about driving the entire distance myself, but it felt too long and exhausting. So, I searched online to find out how to send car by train. After going through the details, I followed the process step by step which I mentioned below for your reference.

How can I Transport My Car by Train?

Here are the steps I followed to transport my car from Chennai to Hyderabad by train, as my friend had advised me.

  1. First, I visited the

    Indian Railways parcel website

    and clicked on the parcel booking option.

  2. I clicked the Sign Up option and registered using my email and phone number.

  3. Then, I filled in the Chennai and Hyderabad stations in the online form.

  4. The system suggested a list of trains, in which I selected one according to my schedule.

  5. I filled out an online form, called the ‘Forwarding Note,’ to book the transport.

  6. After submission, I took the system-generated e-Forwarding Note to the parcel office.

  7. I handed over my car at the originating station along with a printout of the e-Forwarding Note.

  8. There, my car was weighed, and the system calculated the actual freight charges.

  9. Then, I paid the charges and received the Railway Receipt.

  10. I got access to track my car using the Track and Trace facility on the portal.

  11. When the train reached Hyderabad, I received the message.

  12. Finally, I submitted the original RR at the destination parcel office and collected my car.

Hence, I started my research and learned that Indian Railways provides a methodical approach. There are 4 primary steps in the process: registration, booking, movement, and delivery. I can share the same for your reference.

Can I Transport My Car by Train?

The steps include:

  1. First you will need to register on the official

    Indian Railways freight

    portal. This involved filling out details like, name, gender, address, date of birth, email ID, and mobile number. 

  2. Using the login credentials, log in and register a demand for vehicle transportation through the e-Demand facility. This will allow you to choose from empty trains and complete the booking seamlessly.

  3. Rake Allotment, Loading, and Weighing: Indian Railways notifies the customer that an empty rake has been assigned after they have paid the Wagon Registration Fee (WRF). The customer gets the rake, loads it, and then Railways measures it at the closest weighbridge.

  4. Freight Payment and Receipt Creation: The customer can pay freight fees manually or electronically. A Railway Receipt (RR) or electronic RR (eT-RR) is then issued by Indian Railways and distributed either physically or through registered email.

  5. Through FNR (the Freight Number Record, the 11-digit number printed on the RR), the customer can monitor the progress of their shipment.

  6. The customer is notified when the goods arrive at their destination. The customer receives the goods once any applicable charges, such as demurrage fees, have been paid.

Though these steps seem to be a bit overwhelming, transporting a car by train is cost-effective.

The process explained by Amanda in her answer is the right process. I have followed the same steps for my car shifting by train as well. So, let me put the steps that I had followed in short. Before starting the process, I went to visit the parcel office a few weeks before the transportation. Here is what I did next.

  1. I collected the form, filled it out and submitted it along with the necessary documents and fees. They also provided me with a token that I was supposed to provide while taking the car. 

  2. Next, I removed all the things from my car and also kept enough fuel for the transport process. 

  3. Emptying the fuel tank is necessary, as an officer will inspect it. You will be fined if they find fuel in the tank. 

  4. After arriving at the parcel office, I was directed towards a packing station. My car was packed there, and I had to write a few things on a board and put it in my car. 

These are the steps that I followed for the car transport in train process. I hope this helps.

  1. I first went to the train station and then headed to the parcel office. As I wished to transport the vehicle alone and not as luggage, I went there a couple of months before to book the slot well in time. 

  2. I submitted the form, paid the fee and also presented car documents requested by the officer. I got a receipt from them for the car transport for the date I had chosen.

  3. Before the pickup date, I went to a mechanic and got everything checked just to be sure. This is a crucial step which you should follow too.

  4. I then emptied the car boot, glove box and any other storage spaces.

  5. I only kept enough fuel in the tank so that the car could reach the station as you needed to empty the tank before the car was loaded.

  6. Emptied the fuel tank and had the officer inspect the vehicle. The car is not supposed to start, which means there shouldn’t be any fuel in the car at the time of movement. So, once that check was done, I went ahead to get the vehicle packed.

  7. They had a packing facility there. So, I lined up my car and got it packed. I wrote my details on the cover to make it easy for them to locate the car. I include my name, car number, and the two cities of travel.

  8. I then sent the car and got it on the given day at the train station of the other city.

How to Send Car by Train as a Parcel?

  1. This method is best if the recipient of the vehicle is already present in the city or if you can manage to get the car before or after your arrival. So, to transport your car as a parcel, go to the parcel office around a month before you want to transport the car and visit the office to book your slot. 

  2. The officer will look for availability according to your date and will ask for details regarding the transportation. You’ll have to share documents, such as RC, insurance certificate, emission certificate, and ID proof.

  3. You’ll be given a transportation form by the officer, which you’ll have to show during the time of transport. Now, get your car cleaned a day or two before the shifting and remove all the important documents from the compartments. Ensure that the car has just enough fuel to reach the station. 

  4. After this, completely empty the fuel tank and pack the car, either on your own or through the service available at the parcel office. They’ll charge you an amount for this. 

  5. The officer will check that the fuel tank is completely empty, and only then your car will be loaded onto the train for transport. 

  6. Once this is done, your car is ready to be transported.

How to Transport Car in Train as a Luggage?

  1. If you want to transport your car within the same train with which you’re travelling, you can do so by transporting it as luggage. 

  2. Reach the station around 2-3 hours before your train and verify your ticket for the train. You need a valid ticket for this to happen. 

  3. You’ll have to visit the railway officer to issue you a luggage ticket who’ll also write an endorsement on your ticket when you pay the amount for the car transport by train. Ensure that the car is empty and there is no fuel in it. You can pack the car yourself or hire someone from the parcel office.

  4. The car will be transported by the same train based on the availability.

  5. You need to show your original train ticket and the luggage endorsement at the destination railway station to take your car.
