When the time came to decide about renewing my brother’s tenant lease, he realized it wasn’t always easy to say no. He asked me how to tell tenant you are not renewing lease. I told him, clear, polite, and timely written communication is essential. You must also be professional and legally correct.

How to Tell a Tenant You are Not Renewing Lease?

If telling a tenant, you will not be renewing your lease agreement, you must follow this:

  1. Begin with a formal heading including your address, the tenant’s address, and the current date.

  2. Open with a clear statement such as: “I am writing to inform you that the lease for the property at [full address] will not be renewed beyond its current term, ending on [lease end date].”

  3. Next, mention the notice period, aligning with your lease agreement or local requirements, commonly 30 to 60 days.

  4. You should provide proper notice, as it is critical to avoid unintended lease renewals or legal complications.

  5. Include details about the security deposit, stating that it will be fully refunded upon satisfactory return of the property, subject to normal wear and tear.

  6. Encourage the tenant to provide a forwarding address to facilitate refund processing.

  7. Advise on move-out procedures, such as returning keys, completing a walk-through inspection if desired, and settling utilities.

  8. Conclude with a polite sign-off: “Thank you for your tenancy.” End with “Sincerely,” your name, and your contact information.

This direct yet courteous communication helped my brother keep things smooth.
